Most businesses come to us in one of two situations: moving to Microsoft 365 for the first time, or already on it and not getting much out of it. Both start the same way — we look at what you have now, what you actually use, and what's costing you money without earning it.

For a migration, the work happens around your working day. Mail, contacts, calendars and files move across, and the cutover is timed so people finish on the old system and start on the new one without a gap in the middle. We stay close for the first few days afterwards, because that's when the questions arrive.

Licensing is where a lot of businesses quietly overspend. Microsoft's plan names don't make it obvious what you're paying for, and it's common to find people on a plan far above what they need — or a plan that's missing the security features they assumed were included. We'll tell you which you're on.

Files are usually where the real change is felt. SharePoint and OneDrive take the place of the shared drive sitting on a server in the corner, and the practical difference is that people can reach their documents from anywhere without a VPN and without emailing versions back and forth. We set the permissions deliberately, so who can see what is a decision rather than an accident, and sync the libraries into File Explorer so it still looks and behaves like the drive everyone is used to.

And we set up Microsoft 365 backup. Microsoft protects its own infrastructure; it does not keep an indefinite copy of your data if something is deleted, overwritten or encrypted. That gap surprises people, and it's the reason 365 Backup exists.

Is Microsoft 365 data backed up automatically?

Not in the way most people assume. Microsoft keeps your service running and protects its own infrastructure, but it does not hold an indefinite copy of your mail and files. Deleted items age out, and anything overwritten or encrypted is gone once retention passes. A separate Microsoft 365 backup fills that gap, and we set it up as standard.

Can you move us to Microsoft 365 from what we have now?

Yes. We handle mail, contacts, calendars and files, and we time the cutover so your team finishes on the old system and starts on the new one without working across both.

What's the difference between OneDrive and SharePoint?

OneDrive is personal space — your own documents, which you might share with a colleague now and then. SharePoint is shared space — team and company files that belong to the business rather than to a person.

The distinction matters more than it sounds. Anything sitting in someone’s OneDrive is tied to their account, so it leaves with them when they leave. Files in SharePoint stay where they are. We’d normally put anything the business depends on into SharePoint for exactly that reason, and keep OneDrive for genuinely personal working files.

Which Microsoft 365 plan should we be on?

It depends on how many people you have and whether you need the security and device management features in the higher plans. It's very common to find businesses on a plan above what they use, or on one that's missing protection they assumed was included. We'll review what you're paying for and tell you plainly.

What happens to our existing email address?

It stays the same. Migrating to Microsoft 365 changes what sits behind your email, not the address people already use to contact you.
